Terms of Service

Last updated: 10/4/2025

Welcome to Send-Once (“we,” “our,” “us”). These Terms explain how you may use our website and services located at sendonce.com (the “Service”). Please read them carefully before you start using Send-Once.

By accessing or using our Service, you’re agreeing to these Terms and to our Privacy Policy. If you don’t agree, please don’t use Send-Once.

1. What Send-Once Does

Send-Once is a simple and secure way to upload, transmit, and deliver documents and faxes. Every file transfer is protected by HTTPS encryption in transit and AES-256 encryption at rest in Azure Blob Storage. We don’t read, reuse, or resell your files — ever.

2. Who You’re Dealing With

Send-Once is operated and maintained by its founder (the “Operator”). Throughout these Terms, “Send-Once,” “we,” and “us” refer to the Operator who provides and manages the Service. “You” refers to any individual or organization accessing or using the Service.

3. Accounts and Access

Some parts of Send-Once require an account. You’re responsible for keeping your login credentials secure and for all actions taken through your account. Please let us know immediately if you suspect unauthorized access by emailing support@send-once.com.

4. Minimum Age

You must be at least 13 years old (or 16 in the EU/EEA) to use Send-Once. By using our Service, you confirm that you meet this age requirement.

5. Acceptable Use

You agree not to use Send-Once to break the law, share malicious or unauthorized material, spam others, or interfere with our systems. We reserve the right to suspend or terminate accounts involved in misuse.

6. Payments

Send-Once charges a one-time flat fee each time you send a fax or document. Payment is processed securely at checkout, and the service is only completed once payment is confirmed. We don’t store card details directly and never charge hidden or recurring fees.

7. Security & Compliance

We take security seriously. All files are encrypted in transit and at rest. Our infrastructure aligns with SOC 2 Type II controls, and we operate with HIPAA-aligned practices for healthcare customers. If your organization requires a Business Associate Agreement (BAA), contact us at compliance@sendonce.com.

8. Updates to the Service

We’re always improving Send-Once. We may add or remove features or change parts of the Service from time to time. We’ll do our best to announce significant updates in advance.

9. Changes to These Terms

We may update these Terms as our Service or laws evolve. If a change is material, we’ll notify you before it takes effect. Continued use after that means you accept the new Terms.

10. Ending Your Use

You can stop using Send-Once at any time. We may suspend or end your access if you violate these Terms or misuse the Service. Certain obligations — like limitation of liability and indemnity — will still apply after termination.

11. Disclaimers

Send-Once is provided “as is” without warranties of any kind, express or implied. We can’t promise the Service will always be perfect or uninterrupted, but we strive to make it reliable and secure.

12. Limitation of Liability

To the maximum extent permitted by law, Send-Once and its affiliates will not be responsible for indirect, incidental, or consequential damages, or for any amount greater than the total fees you paid during the twelve months prior to the issue.

13. Indemnification

You agree to hold harmless and indemnify Send-Once, its employees, and affiliates against any claims or damages arising from your use of the Service or your violation of these Terms.

14. Governing Law & Jurisdiction

These Terms are governed by the laws of North Carolina, U.S.A., without regard to its conflict-of-law rules. Any disputes will be handled in the state or federal courts located in Wake County, North Carolina.
